- Licensed healthcare professionals and clinic staff who access our provider portal;
- Authorized business purchasers, practice managers, and procurement personnel;
- Sales representatives, referral partners, and commissioned agents;
- Visitors to our website and marketing communications recipients.
2. Information We Collect
2.1 Provider and Business Account Information
When you apply for portal access or create an account, we collect:
- Identifiers: Full name, business email address, business mailing address, phone number, and job title.
- Credentialing Data: NPI number, state medical license number(s), DEA registration number (where applicable), board certifications, and employer/practice information. DEA numbers are collected solely to verify prescribing authorization and are not used for any other purpose.
- Business Information: Practice or organization name, tax identification number, business structure, specialty, and purchasing records.
- Payment Information: Billing address and payment method details processed through our secure payment processor. We do not store full payment card numbers.
2.2 Website and Portal Activity
We automatically collect technical information when you use our website or portal, including:
- Device and browser type, operating system, and IP address.
- Pages visited, time spent, links clicked, and referral source.
- Portal activity including product searches, orders placed, and document downloads.
- Cookies, pixels, tags, and similar tracking technologies (see Section 12).
2.3 Sales Representative and Referral Partner Data
If you are an authorized sales representative or referral partner, we collect your contact information, bank or payment details for commission disbursement, referral attribution data, and account assignment information.
2.4 Direct-to-Patient Fulfillment Data (Limited)
In limited circumstances, a clinic may authorize MyVia Health to ship product directly to a patient on the clinic’s behalf. In this case, we collect only the patient name and shipping address necessary to complete the delivery. This data:
- Is used solely for fulfillment logistics and carrier coordination.
- Is not stored in our CRM, marketing systems, or advertising platforms.
- Is not used for any marketing, analytics, profiling, or advertising purpose.
- Is subject to separate data handling procedures to maintain isolation from business data systems.
2.5 Communications Data
When you contact us or respond to our communications, we may retain records of those interactions including emails, SMS messages, call logs, and support tickets.
2.6 Professional Profile Inferences
We may derive professional practice profile information from the data you provide and your interactions with our platform, such as specialty, clinic type, product preferences, and ordering patterns. This is used solely to personalize your portal experience and product recommendations, and to improve our services and marketing to similarly situated professionals.
3. How We Collect Information
- Directly from you: When you submit a provider access application, credentialing information, order, inquiry, or form.
- Automatically: Through cookies, pixels, server logs, analytics tools, and similar technologies when you visit our website or portal.
- From third parties: Credentialing verification services, payment processors, shipping carriers, and publicly available professional databases.
- From sales representatives: When a rep submits your information to establish a clinic account on your behalf.
4. How We Use Your Information
4.1 Operations and Fulfillment
- Verifying credentials and approving provider portal access.
- Processing orders, coordinating fulfillment, and managing shipping logistics.
- Sending automated order status and fulfillment notifications via email or SMS.
- Processing payments and managing invoices and account history.
- Providing customer support and responding to inquiries.
4.2 Sales, Commissions, and Account Management
- Tracking referral relationships and calculating commissions for authorized sales representatives.
- Managing rep-to-clinic account assignments and portal org hierarchy.
- Onboarding new clinic accounts and coordinating rep introductions.
4.3 Marketing and Advertising
- Delivering product updates, formulary notices, and clinical communications relevant to your specialty.
- Conducting analytics, audience measurement, and campaign performance analysis.
- Delivering business-focused marketing and advertising communications about products, services, promotions, and educational content relevant to your professional role.
- Using cookies, pixels, and similar technologies for analytics, advertising attribution, retargeting, and related marketing activities.
- Creating custom audiences and lookalike audiences on advertising platforms using hashed identifiers or similar techniques, where permitted by law.
4.4 Compliance and Legal

- Verifying professional licensure and DEA authorization.
- Responding to legal process, government inquiries, or to protect our rights and property.
- Maintaining audit trails and records for regulatory compliance purposes.
5. Disclosure of Your Information
We may disclose your information to the following categories of recipients:
Service Providers: Third parties that operate services on our behalf, including hosting, cloud infrastructure, payment processing, credentialing verification, customer support, email delivery, and SMS communications. These providers are contractually restricted to using your information only as directed by us.
Fulfillment and Pharmacy Partners: Licensed fulfillment platforms (including Prescribe-Rx) and compounding pharmacy partners who process and ship orders placed through our portal. They receive only the information necessary to fulfill your order.
Advertising and Analytics Platforms: Providers such as Google Analytics, Meta Pixel, LinkedIn Insight Tag, and similar platforms may receive identifiers, usage data, and hashed contact information for analytics and business-focused advertising purposes. Patient fulfillment data is never shared with these platforms.
Sales Representatives and Referral Partners: Your account representative may access your account information for the purpose of managing your relationship with MyVia Health.
Business Transfers: In connection with a merger, acquisition, sale, or other transfer of business assets, your information may be transferred as part of that transaction.
Legal Requirements: When required by law, subpoena, court order, regulatory inquiry, or to protect our rights, safety, or property, or those of others.
We do not sell personal information for monetary consideration. Certain disclosures of information to advertising platforms (such as sharing for cross-context behavioral advertising) may constitute a “sale” or “sharing” under applicable state privacy laws. See Section 10 for opt-out rights.
6. Data Retention
We retain your information for as long as necessary to:
- Maintain your active portal account and order history;
- Fulfill legal and regulatory recordkeeping obligations;
- Resolve disputes and enforce our agreements; and
- Support ongoing sales representative commission calculations and audits.
Credentialing data is retained for the duration of your relationship with MyVia Health and for a reasonable period thereafter consistent with applicable regulatory requirements. Direct-to-patient shipping data is retained only as long as required for carrier confirmation and is then deleted or anonymized.
7. Data Security
We implement reasonable administrative, technical, and physical safeguards designed to protect your information from unauthorized access, disclosure, alteration, and destruction. Measures include encrypted data transmission (TLS), access controls and authentication requirements, and vendor security assessments.

10.1 General Rights (All Users)
Regardless of your location, you may

- Right to Non-Discrimination: We will not discriminate against you for exercising your privacy rights.
